Refund & Cancellation Policy

This Refund and Cancellation Policy governs the terms under which Compiler Vertex Point Co., Ltd. (“Company”, “we”, “us”, or “our”) processes refund requests, project cancellations, and session rescheduling for our engineering advisory and release telemetry diagnostic services.

1. Nature of Professional Advisory Engagements

Our services consist of customized, engineer-delivered technical assessments, data analysis, custom metric configurations, and architectural working sessions. Because these services involve dedicated expert time and custom deliverables tailored specifically to your infrastructure topology, refund eligibility is structured according to project phases and milestones.

2. Cancellation and Rescheduling Policy

A. Discovery & Working Sessions

• Advance Rescheduling: You may reschedule scheduled discovery interviews, architectural debriefs, or pairing sessions at no additional charge by providing written notice at least forty-eight (48) hours prior to the scheduled session time.
• Late Rescheduling or No-Shows: If a client misses a scheduled working session without at least forty-eight (48) hours prior notice, the session time is deemed delivered, and replacement sessions may be subject to additional billable scheduling fees.

B. Project Cancellations Before Work Has Commenced

• If a client cancels a scheduled diagnostic audit or advisory sprint in writing at least five (5) business days prior to the agreed project start date (prior to any metric ingestion or architectural review), a full refund of the advance deposit will be issued, minus a 5% administrative and banking transaction processing fee.

3. Conditions for Full and Partial Refunds

Full Refunds

A 100% refund of fees paid for a specific milestone will be granted only if:

1. Compiler Vertex Point is unable to initiate the agreed engagement due to unforeseen internal staffing constraints and is unable to offer a mutually agreeable rescheduled date.
2. The client cancels the engagement in writing within forty-eight (48) hours of contract execution, provided no telemetry data, credentials, or preparatory review has occurred.

Partial Refunds (Work Already Started)

• If a cancellation request is received after initial telemetry ingestion has commenced (Days 1–2 of an audit), the initial 50% advance deposit is non-refundable to cover consumed engineering hours and discovery work. The client will not be invoiced for the remaining 50% completion balance.
• If a project is cancelled after Phase 2 (Days 3–5) or during report drafting, fees are pro-rated based on verified completed milestones, and the client will receive all draft analysis artifacts produced up to the date of cancellation.

Non-Refundable Items

• Delivered Final Audit Reports and completed technical debrief sessions.
• Advisory retainers or sprint hours completed and delivered.
• Direct banking wire transfer or currency conversion fees charged by intermediary banking institutions.

4. Refund Request Process & Processing Time

To submit a formal request for a refund or project cancellation:

1. Submit Written Request: Send an email to hello@compilervertexpoint.digital with the subject line “Refund Request - [Engagement Reference Number]”.
2. Include Documentation: Clearly state the reason for cancellation, date of contract signing, and your corporate bank transfer details.
3. Review & Assessment: Our managing director will review the project milestone log and respond in writing within five (5) business days.
4. Disbursement: Approved refunds are issued via direct international bank wire transfer (SWIFT) to the original originating corporate bank account within ten (10) business days of formal approval.
